Manager, Exhibit Services
EXEMPT
Basic Function:
To serve as an account manager by developing and fostering strong relationships with exhibitors, sponsors and applicable vendors; enhancing service, manage expectations, and respond to questions in a timely and efficient manner and manage operational activities relative to the exhibitors and the exhibit floor for all NAB conventions.
Specific Responsibilities:
- Develop and implement customer service program for NAB exhibitors to include:
- Develop and implement key customer communications, such as the Exhibitor Manual, confirmation packets, exhibitor newsletters and email alerts, sponsor/advertiser deadlines and requirements packets;
- Serve as account manager and event resource for exhibitors and liaison for exhibit sales team;
- Partner with floor managers to service and respond to exhibitor inquiries and requests on-site.
- Show related projects which may include:
- Exhibitor registration – manage the vendor, provide information for the web site and develop post-show analysis of the program;
- Trade and complimentary booth program - space assignment, vendor notification, work orders and exhibitor communications;
- Exhibitor education and training programs such workshops and online seminars; coordinate logistics for these events such as registration, confirmations, surveys, etc.;
- Website content to include creation of content and services.
- Operational responsibilities may include:
- Work directly with Exhibit Sales staff to develop floor plan for the exhibit halls that yields the most booth space in a manner consistent with NAB’s objectives and facilitates implementation on-site to include Fire Marshal approval, including consolidation requirements, booth modifications and movement;
- Manage advertising and sponsorship fulfillment strategies and processes including developing timelines, creating/maintaining deliverables documents, collection of all artwork/specifications requirements;
- Manage advance and on-site work orders for exhibit hall décor: pavilions, exhibitor meeting rooms, structures, advertising / sponsorship fulfillment and traffic builders or more as assigned;
- Ensuring exhibiting rules and regulations are properly communicated and followed by exhibitors. Ensures booth sets fall within NAB Show guidelines by reviewing and approving exhibitor booth layouts as necessary.
- Work with the Convention Operations and Exhibit Sales departments as necessary;
- Partner with and manage vendors to ensure that initiatives meet objectives. Directs and initiates solutions in support of continuous improvement;
- Responsible for overseeing and tracking of assigned portions of Exhibit Services budgets;
- Develop and manage all operational requirements for space selection program.
- Additional responsibilities may include:
- Work with Director to develop overall department and show-related goals and maintain updated implementation plan and assist with special projects as assigned by the Director and Senior Vice President;
- Prepare RFP’s and recommend selection of necessary contractors as requested;
- Prepare post-show analysis of operational activities. Make recommendations for changes and improvements including a written assessment of all contractors, services and facilities;
- Maintain industry awareness of available services, cutting edge technologies, and contractors.
Internal Relations:
Position Reports to Director, Exhibit Services. Works closely with other Convention and Business Operations and NAB staff to ensure the smooth delivery of services to the exhibitors.
External Relations:
Position interacts heavily with exhibitors, answering questions and providing support to phone inquiries and emails. Position also interacts with several key vendors including general services contractor, catering, telecommunications, shipping and others.
Minimum Education and Experience:
- Bachelors’ degree.
- 3-5 years experience in the trade show or related industry.
- Experience managing major expositions and meetings.
Minimum Skills and Attributes:
- Detailed oriented, ability to delegate and manage personnel, flexible, problem solver.
- Strong organization and time management skills, with the ability to handle multiple projects simultaneously.
- Solid written and verbal communications skills.
- Self-starter, highly motivated, and results driven.
- Strong customer service focus, with the ability to assist with a high call and email volume during busy periods leading up to the show.
- High level of professionalism.
- Proficient with Microsoft Office Suite - Outlook, Word, Excel and Access (or other database software).
- Working knowledge of trade show software applications such as a2z.
