Coordinator, Convention Marketing
NON-EXEMPT
Basic Function: Responsible for supporting the NAB Show marketing and communications programs designed to grow attendance, support exhibit sales and enhance customer experience.
Specific Responsibilities:
- Assist in the development and production of all print and interactive materials designed to drive attendance promotion and support exhibit sales and exhibitor communication, including: content collection, copy editing, html layout and web edits.
- Document and monitor department project schedule; assist with tracking and reporting.
- Manage inventory of tracking codes and creative assets, including: printed materials, electronic graphics, logo files and speaker photos, department control files, advertising tear sheets, external lists. Secure and distribute creative assets to external vendors and partners. Coordinate shipments of promotional materials to and from NAB.
- Support partner programs – assist with the documentation and fulfillment of agreements. Ensure that the contractual responsibilities of NAB and all partners are fulfilled in a timely manner. Monitor external NAB Show listings to ensure the accuracy of information.
- Assist with the development and maintenance of an attendee prospect database as well as data analysis.
- Assist with researching media partners, industry-related organizations, chambers, and government agencies around the world. Maintain partner database.
- Monitor the NAB Show website for quality control; manage the marketing email inbox.
- Coordinate in-house printing projects.
- Process invoices and maintain invoice books.
- Answer incoming calls and process requests for information in a timely manner.
- Continually strive to expand a working knowledge of the latest marketing and communications strategies and techniques.
- Other duties as assigned by the Director, Convention Marketing.
Internal Relations:
Position Reports to Director, Convention Marketing.
External Relations:
Works with outside vendors, attendees/exhibitors, promotional and education partners.
Minimum Education and Experience:
- Bachelor’s degree;
- One-two years’ experience working in an administrative capacity in a similar office environment; or a combination of education and experience.
Minimum Skills and Attributes:
- Comfortable in a fast-paced, busy environment driven by deadlines.
- Strong problem solving skills; ability to identify and resolve problems in a timely manner; gathers and analyzes information skillfully.
- Strong interpersonal skills; a pro-active, energetic, self-confident individual with a positive attitude and high degree of integrity.
- Ability to communicate clearly and effectively, both orally and in writing.
- Strong organization and time management skills, with the ability to handle multiple projects simultaneously and meet tight deadlines.
- Proficient in MS Office Suite products (Word, Outlook, Excel) or similar type of products in a Windows environment.
- Proficient in HTML programming.
- Knowledge of SalesForce or similar database system.
- Knowledge of Adobe Creative Suite 5, a plus.
- Ability to speak one or more languages, a plus.
