Administrative Assistant, Government Relations
NON-EXEMPT
Basic Function:
Perform a variety of administrative, financial and legislative functions to support the internal and external activities of the Government Relations department. The Administrative Assistant works with all NAB staff that interacts with the NAB Government Relations department, the NAB Board of Directors, NAB members, state association executives and consultants regarding various Government Relations activities, events, meetings and finances. The position reports to the Executive Vice President of Government Relations regarding Government Relations functions.
Specific Responsibilities:
- Provide administrative assistance to the Government Relations department.
- Assist with legislative projects and research. Monitor the congressional schedule and cover hearings as required.
- Preparation of memorandums on various legislative activities. Assist in drafting communications to Capitol Hill as well as Action Alert memos for distribution to radio and television executives.
- Maintain the central legislative filing system and issue briefs. Distribution of daily news clippings and circulation of relevant information from other news and Hill sources.
- Produce biannual lobbying report in conjunction with Executive Assistant and Legal department to be reviewed by the Executive Vice President, Government Relations.
- Maintain congressional mailing lists for the House and Senate. Handle arrangements for Hill briefings and meetings. Assist with any Congressional, State Association and consultant requirements at the annual NAB convention, State Leadership Convention, Capitol Hill staff briefings, fly-ins and other specials events.
- Assist with monthly updates of issue papers and Government Relations/NAB Website as necessary. The Executive Vice President, Government Relations will review all revisions prior to publication.
- Prepare correspondence, memoranda, agendas, expense reports, etc.
- Monitor the Government Relations budget as budget administrator, Government Relations special projects and contributions to charities. Manage all Government Relations consultant invoices and Government Relations expenses. Serve as the Ariett representative for GR.
- Stay current in DDC Advocacy and INFORMZ software in grassroots programs. Serve as primary contact for executing grassroots communications to broadcasters and Capitol Hill. Work with NAB Marketing and Communications department to ensure that all external communications are consistent with NAB’s style guidelines.
- Ensure that there are sufficient supplies of all NAB GR materials, maintaining an appropriate inventory of stationary, letterhead and relevant brochures.
Internal Relations:
Reports to Executive Vice President, Government Relations. The Administrative Assistant is an integral part of the Government Relations department working to ensure that all administrative duties and communications to NAB members and Capitol Hill are executed properly and in a timely manner. The Administrative Assistant works with all departments and NAB personnel that have joint business with the Government Relations department to accomplish the responsibilities and goals of the department. This position will also interact with Government Relations consultants, Board of Directors, State Association Executives and broadcasters in a variety of capacities.
External Relations:
The Administrative Assistant works with vendors, supplier partners, DDC Advocacy and all other software vendors, and others necessary to execute the responsibilities of the position. Some involvement with Hill staff.
Minimum Education and Experience:
Bachelor's degree (BA or BS) from four-year college or university; or one or more years related experience and/or training; or equivalent combination of education and experience.
Minimum Skills and Attributes:
- Excellent at reading and interpretation of documents.
- Must be able to write routine reports and correspondence; calculate figures and amounts and apply concepts of basic algebra and geometry.
- Capable of speaking effectively with customers or employees of organization is essential.
- Solving practical problems and dealing with a variety of concrete variables in situations where only limited standardizations exist.
- Working knowledge of Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint, Access or other database software such as DDC Advocacy.
- Strong administrative and computer skills a must along with strong written and verbal communication skills.
- Must be detail oriented.
